Notes & Tasks

How the integration keeps a record of activity and reminds you to follow up.

Notes: a timeline of every interaction

Every event from Instantly is logged as a Note on the relevant Person record in Attio, titled "Instantly: <event>" — so you get a full history without checking Instantly separately:

  • Email sent, opened, or a link clicked
  • Email bounced
  • Unsubscribed
  • Reply received (including the reply text and a link back to the conversation in Instantly, when available)
  • Marked Interested (same as a reply)

Anyone looking at a Person's record in Attio can see the full outreach history without needing access to Instantly.

Tasks: automatic reply reminders

Whenever a lead replies (including auto-replies) or is marked Interested, the integration creates a Task automatically:

  • Due the next day
  • Includes the campaign name and a snippet of the reply, if there is one
  • Meant as a nudge to make sure replies don't sit unanswered

You don't need to set this up — a Task is created for every qualifying event, on every campaign, as soon as the integration is connected.

Who gets assigned

The integration tries to assign the Task to the right person, in this order:

  1. Owner attribute — if you've told the app which field on your People records holds the record owner (see Settings), the Task is assigned to that owner
  2. Default assignee — if there's no owner set, it falls back to the email address you've configured as a default
  3. Unassigned — if neither is configured or resolvable, the Task is still created, just without an assignee

The same order is used to assign ownership on Deals created from interested leads — see Leads & Deals.

What you don't need to do manually

  • You don't need to log emails yourself
  • You don't need to create tasks to follow up on replies
  • You don't need to check Instantly to see if someone bounced or unsubscribed — it's reflected on their Attio record automatically
